House Manager (Encino, CA)

Our client in Encino (adult home with two small dogs) is seeking an exceptionally organized, proactive, discreet, and hands-on Bilingual (English and Spanish) House Manager to oversee the day-to-day operations, presentation, readiness, and meticulous care of their high-standard home.
 
The ideal candidate will bring a refined service mentality and a keen eye for detail, ensuring the home operates at a level comparable to a five-star hotel or professionally managed luxury estate. The residence should consistently feel calm, immaculate, beautifully organized, fully stocked, and effortlessly prepared for the Principals at all times.
 
This is a hands-on position for a polished professional who takes genuine pride in anticipating needs, maintaining exceptional household standards, and ensuring that every detail—both seen and unseen—is thoughtfully managed.
Duties to include, but not limited to:
  • Update the household calendar every day and review the following day’s schedule each evening
  • Assist housekeeping team and clean the residence as needed, including the kitchen, bathrooms, common areas, tidying, organization, and other housekeeping tasks required to maintain the same standard every day of the week
  • Learn the Principals’ preferences, identify items that are running low, and replenish them before a request is necessary
  • Keep bottled water stocked in every refrigerator and in all key service areas, including the gym, pool and outdoor area, and bar
  • Walk the residence daily
  • Immediately address spills, a dirty bathroom, a messy kitchen, fingerprints, clutter, odors, or any other obvious issue rather than waiting for the next scheduled cleaning day
  • Keep common areas reset at all times: straighten furniture, arrange pillows, clear surfaces, remove trash, and return household items to their proper locations
  • Maintain fresh candles and a polished household scent presentation.
  • Walk the pool and outdoor areas every day and keep them guest-ready
  • Monitor the pool-service provider and verify that the pool is clean and properly presented
  • Follow up immediately if pool service is missed or the result is below standard
  • Coordinate car washes, detailing, service, maintenance, registration, and vehicle appointments as required
  • Manage and follow up with the pool service, gardener, technology and AV provider, pest-control provider, repair professionals, delivery services, and other household vendors
  • Maintain organized household records containing vendor contact information, service schedules, recurring maintenance dates, commitments, and open issues.
  • Collect mail daily and receive and organize FedEx, UPS, Amazon, courier, and other deliveries.
  • Keep guest areas free of clutter and present them like a prepared luxury-hotel room
  • Required Hawaii Travel and Residence Preparation
  • The selected candidate must be available to travel to and support the household’s Hawaii residence from December 20, 2026, through January 21, 2027.
  • Organize clothing, personal items, bathrooms, closets, drawers, and rooms so the residence is fully ready when the Principals arrive
  • Complete grocery shopping before arrival and stock bottled water, fresh fruit, eggs, breakfast supplies, healthy proteins, rice, coffee and latte ingredients, orange juice, snacks, toiletries, and household necessities
  • Secure and coordinate rental vehicles before arrival, confirming the reservation, vehicle type, pickup or delivery process, timing, and readiness
  • During the stay, maintain the same standards for cleaning, kitchen reset, food preparation, grocery freshness, laundry, wardrobe organization, errands, vendor coordination, and overall residence readiness

Requirements:
  • Must be fluent in both English and Spanish
  • Must have at least three years of professional experience as a House Manager in a private estate
  • Strong understanding of clothing presentation, folding, steaming, pressing, laundry sorting, dry-cleaning tracking, and closet organization
  • Clear written and verbal communication skills. The employee must be able to read and write clear English to document schedules, prices, vendor instructions, household needs, safety information, and confirmations.
  • Comfort using email, text messaging, calendars, lists, online ordering, receipts, vendor portals, and basic household technology
  • Professional and respectful demeanor, including comfort with formal household protocols, professional uniform requirements, and the requested form of address
  • Genuine comfort caring for and spending time with dogs
  • Valid driver’s license, reliable transportation, and an acceptable driving record sufficient to perform errands and manage household vehicles, subject to applicable law and insurance requirements
  • Ability and willingness to work on-site, travel to Hawaii for the required period, and remain available for the listed evening assignments
  • Ability to work independently while coordinating effectively with the professional housekeeper, vendors, and designated household contacts
  • Willingness to sign and strictly comply with confidentiality, privacy, household-policy, and property-access agreements
  • Ability to pass reference, background, and driving-record checks conducted in accordance with applicable law
