Property Manager (Marin County, CA)

A Marin County family is seeking a calm, intuitive, sincere, and efficient Property Manager to oversee operations, maintenance and multi-scale renovations for several residential properties, primarily in the Mill Valley area.  Candidates must have impeccable attention to detail and extensive vendor and project management experience to ensure projects and property tasks are executed in a timely manner in accordance with client expectations.
Duties to include, but not limited to:
  • Instigate, track, and coordinate projects pertaining to property renovations, repairs and upkeep
  • Establish and direct preventative maintenance protocols
  • Ensure regular confidence testing of building systems, grounds and property features
  • Serve as a liaison between the Principals and their contractors, repair technicians and all other service providers
  • Work closely with the family office to keep the Principals apprised of ongoing projects by publishing regular reports and updates
  • Source, vet, and manage vendors and contractors
  • Ensure quality of work, predictable timelines and value control
  • Track project budgets and expenditures
  • Review and approve invoices
  • Maintain documentation. including manuals, vendor records, and schedules
  • Partner with specialists on design, engineering, and systems implementation
This is a full-time position:
  • General hours of Monday through Friday
  • 8:30 A M to 4:30 PM
  • On occasion, hours and days may vary depending on the needs of the client

Requirements:
  • 10+ years’ experience working and managing large family-owned residential properties including renovations, upgrades, maintenance, and repairs
  • Experience partnering with vendors to build project scope of work, timelines and budgets and ensuring all deliverables are met
  • Experience managing budgets and approving invoices
  • Extensive knowledge of household components including HVAC, plumbing, electrical, landscape/hardscape, security/alarm systems, home audio/video, lighting control, appliances, backup generators, irrigation systems, etc.
  • Strong written and verbal communication skills
  • Strong vendor management and project coordination skills with the ability to direct and manage several projects at once
  • Willingness and flexibility to adapt to changing needs and routines
  • Possesses high level of integrity and discretion in handling confidential information
  • Maintains highest level of discretion and confidentiality; absolute personal and professional integrity, loyalty and trustworthiness
  • Must be eligible to work in the US with a valid driver’s license, clean driving record and reliable vehicle
  • Proficiency in verbal and written communication and working knowledge of MS Word/Outlook/Excel. Familiarity with Adobe Acrobat a bonus
