This role requires a polished professional who can seamlessly manage both executive and personal responsibilities while operating with a high degree of confidentiality, judgment, and adaptability. The Principal maintains a dynamic travel schedule and multiple residences and business operations across locations including Chicago, New York, Miami, and Indiana. The ideal candidate thrives under pressure, anticipates needs before they arise, and is capable of managing complex logistics with precision and professionalism. This position may require accompanying the Principal on business travel for up to two weeks per month to assist with meeting coordination, note-taking, follow-ups, and operational support.
Key Responsibilities:
Serve as primary gatekeeper for communications, including calls, texts, and email correspondence
Manage complex and constantly evolving calendars across business and personal commitments
Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, dining, and itineraries
Accompany the Principal to meetings and travel as needed to provide real-time administrative and operational support
Take detailed meeting notes and manage follow-up items across internal and external stakeholders
Coordinate with attorneys, executives, household staff, vendors, and other advisors
Assist with personal shopping, gifting, reservations, and lifestyle management tasks
Coordinate catering, hospitality, and meeting logistics for internal and external events
Support operations across multiple residences and offices
Maintain absolute confidentiality and professionalism in all interactions
Anticipate needs proactively and solve problems independently with minimal direction
Coordinate and liaise with other principals, family offices, executives, and high-profile stakeholders regarding scheduling, meetings, events, and travel logistics
Support planning and logistics for political, philanthropic, fundraising, and high-profile networking events as needed
Maintain professionalism and discretion while interacting with high-net-worth individuals, public figures, donors, attorneys, executives, and institutional partners
Assist in coordinating private dinners, receptions, conferences, and relationship-driven events involving senior business and civic leaders
Coordinate closely with executive protection personnel and security teams to ensure seamless travel, scheduling, residence logistics, and event operations
Schedule & Expectations:
Full-time position
Generally, Monday–Friday with after-hours/weekend flexibility as needed
Significant availability and responsiveness expected during travel periods
Hybrid remote environment with in-person responsibilities and travel as required
Compensation & Benefits:

Qualifications:
Bachelor’s degree preferred
Minimum 3–5 years supporting a C-level executive, principal, entrepreneur, or family office
Strong proficiency in Microsoft Office Suite and digital communication platforms
Exceptional organizational skills and attention to detail
Excellent written and verbal communication skills
Experience coordinating with legal teams, executives, and high-level external stakeholders
Ability to manage sensitive information with discretion and sound judgment
Legally authorized to work in the United States
Valid passport with ability to travel domestically and internationally on short notice
Valid driver’s license with clean driving record
Ability to pass comprehensive background and reference checks
