Office Receptionist (W. Hollywood, CA)

Seeking a professional, personable, punctual, multi-tasker who is extremely neat/tidy, proactive, self-motivated and organized.   This person should be a team player, customer service-oriented, flexible, detail-oriented, have reliable vehicle and values the importance of confidentiality. 
 
Duties:
  • Greet guests, assist with Envoy check-in system and liaison with Security desk
  • Inform Security Desk of guest names, dates and time of arrival
  • Ensure kitchen is stocked with snacks, beverages and refill supplies daily
  • Tidy-up all areas of the suite throughout the day to prepare for new guests and meetings
  • Order office suite supplies and restock supplies as needed
  • Collaborate with onsite IT to ensure guest access to WIFI, A/V equipment, etc.
  • Assist guests with printing, scanning, office supplies and special requests
  • Open front door for guests, grant in/out access and track guest Fobs and wristbands
  • Circulate birthday cards, retrieve packages from Security Desk
  • Order, retrieve and set up lunch for guests and employees and load/empty dishwasher
  • Distribute and track parking validations
  • Assist fellow employees with ad hoc projects and requests
  • Run errand as needed (i.e., FedEx, shopping, dry cleaners, etc.)
  • Assist with special events
  • Other duties as assigned
 
Schedule:
  • Monday – Friday
  • 8:30 AM – 5:30 PM
  • $30+ hourly

Requirements:
  • 4+ years’ experience in the hospitality industry or executive office space as a Receptionist, Personal Assistant or similar role
  • Tech savvy and fluent in MAC OS, Google Apps/Calendar/Drive/Sheets/Docs and mobile technologies
  • Must pass rigorous background and credit check
  • Strong written skills
  • Self-motivated:  must work well independently and be self-directed
  • Strong follow-up and follow through
  • Flexible and adaptable, available to work on-call and be able to respond to emergencies
  • Team player
  • Fully vaccinated for COVID-19
 
Side note:
  • The hiring process for this position is lengthy, requiring multiple interviews with various players in the organization to conclude with a in person social meeting, this could take 1-3 months depending on various circumstances
  • A skills/knowledge based test will be required in addition to a background/credit check
