Personal Assistant (La Jolla, CA)

A busy family of 4 with one cat is seeking a highly-professional and quick-thinking superstar that can multi-task, wear many different hats, and be well-versed at training and managing a team. The ideal candidate is discreet, intelligent, solution-oriented, and a team player. This candidate must possess exceptional organizational and administrative skills, great communication ability, prior experience working in a private home, and strong work ethic.
Responsibilities include (but are not limited to):
  • Coordinate and schedule family calendar appointments; exemplary calendar management
  • Manage the family’s traveling calendar (2 adults/2 young children/staff)
  • Manage all incoming and outgoing communications
  • Share tasks with House Manager/Butler
  • Manage insurance for all properties and cars
  • Submit invoices and track payments for all vendors (all properties)
This is a full-time Position:
  • Monday to Friday
  • 9 AM to 5 PM
  • Occasional weekends or after-hours assistance is needed when special occasions/events/special projects arise
  • Vacation/holiday pay
  • Available 24/7

Qualifications:
  • Bachelor’s degree or equivalent
  • At least 15 years of experience working for high-profile families
  • Ability to handle multiple tasks while staying organized
  • PC/MAC proficient; Microsoft Office and Outlook, Google Suite, Dropbox
  • Must be adept at travel planning; domestic and international, commercial and private
  • Possess a pleasant attitude, positive energy and lots of stamina
