Estate Manager (Kona, HI)

Seeking an experienced Estate Manager to oversee the daily household operations, staff and property management for a private family’s residential Hawaii portfolio.

 

Duties to include (but not limited to):
  • Oversee household operations for all Hawaii based properties
  • Insure each property has a consistent feel and understands Principal’s preferences
  • Oversee guest arrivals/departures including special request, food, turn down service, etc.
  • Ensure each residence is stocked with Principal’s desired toiletries, personal items, etc.
  • Direct the housekeeping team to develop and maintain an interior/exterior cleaning schedule for regular and deep cleaning.  Implement check lists or one cleaning
  • Oversee and coordinate all household vendors and outsourced housekeeping services
  • Work well with all leadership team members
  • Manage neighbor relations
  • Manage staffing schedules
  • Responsible for all asset’ documentation and inventory control (furnishings, carpets, finishes, fixtures, artwork and personal and household supplies)
  • Order and purchase all household/personal items
  • Oversee set-up and tracking of online accounts, troubleshoot AV/IT equipment and systems
  • Understanding of all security needs
  • Support established emergency preparedness procedures
  • Assist Family Office in establishing expenditure budgets
  • Oversee building operations, maintenance, safety and security systems, landscaping, irrigation
  • Manage all staffing needs and conduct weekly staff meetings
Schedule:
  • Live off Property
  • Relocation (if needed will be provided)
  • Ability to accommodate a non-traditional work schedule and remain flexible

Requirements:
  • Bachelor’s degree preferred but not mandatory
  • Minimum of seven plus years of relevant experience
  • Adept in all areas of private service, estate management and hospitality
  • Deep experience in managing diverse service teams
  • Tech-savvy (Mac, internet, apps, calendaring, Microsoft Office Suite, project management/messaging tools, various only line portals for scheduling
  • Must have a valid driver’s license in good standing
  • Must have verifiable references, be able to pass a thorough background check, a drug screen and an online assessment
  • Comfortable working in a smoke/drug free environment
  • Covid vaccination is encouraged
  • Familiarity with Island lifestyle and have a desire to work and live in Kona
