Our client (a family of five, two adults and three young children) in Hillsborough, California, has an immediate need for an Estate Manager (EM). The EM will report directly to the Principals and be responsible for planning and executing their staff and properties’ overall management and maintenance. The EM will coordinate plans and services with numerous internal and external contacts, including the Principal’s family members & guests, family office group & client services, property staff, contractors, vendors, consultants, and counsel as needed. Please Note: This opportunity is open to candidates who currently live in California. We will share a detailed job description with candidates who meet the minimum requirements for the role.
Duties include, but not limited to:
Maintain strict confidentiality regarding Principals, family members, guests, and properties. Respect Principals, family, and guest privacy
Oversee smooth functioning of all household operations and family calendar.
Maintain and drive annual calendar of events/projects (for example, holiday gifts)
Work with financial liaisons as needed to process payments for vendors, bill management, ensure insurance is updated for new staff members, etc.
Establish and oversee employment benefits infrastructure for estate team
Oversee hiring, management, training, and coordination of home team (4-10 people) comprising nannies and housekeepers
Serve as the Principals’ primary point of contact for any management issue across all properties
Coordinate services of all property staff, including employed or contracted housekeepers, Travel and event planning
EM to schedule all repairs and maintenance to avoid work during Principals, family, and guest visits when possible
General errand running, gift purchases
Esthetics: make sure the family’s homes look great at all times!
This is a full–time position:
Requires flexibility for additional days, weekends, and longer hours as mutually agreed
Regularly work in the primary residence and travel to the family’s Sonoma home periodically, as needed.

At least ten years of estate management experience in large high-end residential homes. That experience should include at least seven years of staff personnel, contractor, and vendor management and at least five years of residential construction project management experience
Operational knowledge of residential building systems and components, utility systems, landscape and hardscape
A college BS or BA degree
Should have excellent leadership skills and fostering team culture/morale!
Should be familiar with CA labor laws, standard home payroll systems, payroll tracking, etc.
Must have excellent oral and written communications skills
Must have references that demonstrate commitment, reliability, discretion, and productivity
Must be a team player with excellent leadership and delegation skills
Must be able to take instructions as given but must also be proactive and able to work individually, often with little or no supervision
Successfully complete an in-depth background investigation
